What You’ll Do
PURPOSE OF POSITION
The Administrative Assistant is responsible for providing clerical, administrative, and accounting support. With a customer-driven focus, the Administrative Assistant ensures that the administrative services are provided in a timely and efficient manner.
CORE RESPONSIBILITIES
Understand and promote the Company’s mission statement, values, and strategic goals.
Understand and adhere to Company standards, policies, procedures, and practices.
Maintain effective working relationships and communication with other company departments and personnel.
Foster the team environment and create a “group culture”.
Drive and maintain a high level of efficiency and productivity.
Actively seek and keep abreast of all relevant industry/occupational knowledge, changes and potential opportunities through the pursuit and participation of training, industry specific literature, industry, trade or professional specific associations and education.
GENERAL DUTIES
Provide word processing and administrative support to branch personnel.
Maintain general filing system.
Maintain and monitor adequate inventory of office supplies.
Coordinate repair and maintenance of office equipment, including postage meter.
Open, sort, date stamp, and distribute all general correspondence.
Prepare daily outgoing mail for pick up.
Sign for incoming courier packages and distribute.
Prepare Purolator courier packages for branches and others.
Mail out customer invoices, lease billings, statements and cheques as directed
Photocopy cheques, scan cash receipts and post cash receipts as required
Deposit cheques daily
Scanning of lease and accounts receivable as backup
Answering phones, taking messages and forwarding phone calls
Ensure the confidentiality and security of all financial files
Basic journal entries
Tracking of rental utilization
ACCOUNTING SUPPORT
Mail out customer invoices, lease billings, statements and cheques as directed.
Set up new accounts and update accounts as required.
Photo copy cheques, scan cash receipts and post cash receipts as required.
Ensure the confidentiality and security of all financial files.
What We’re Looking For
DESIRED KNOWLEDGE, SKILLS AND EXPERIENCE
High School Diploma or GED.
Minimum of 2 year(s) administrative experience.
Experience with answering multiline phones.
Self-starter with the ability to prioritize and organize workload in a fast paced environment.
Excellent attention to detail with a sense of urgency to meet tight deadlines.
Standard First Aid/CPR Certificate an asset.
WHMIS an asset.
Effective interpersonal and communication skills in order to work with wide number of people, including peers, subordinates, and other company departments and staff.
Strong customer service attitude and leadership to ensure customer expectations are exceeded.
Effective negotiation, persuasion, and listening skills to facilitate successful resolution of concerns.
Effective time management, decision making, planning and organizing skills.
Write legibly and possess excellent verbal communication skills.
Strong computer skills with excellent accuracy and attention to detail.
Safety awareness and attitude.
Must have proficient knowledge in office administration, effective computer skills including, word processing, spreadsheet and data entry knowledge.
